1. Who is responsible for your data?
Facadso is provided by CAW (Akkuyu, Metehan), registered with the Belgian Crossroads Bank for Enterprises (KBO) under number BE 0715.603.246, at 9240 Zele, Belgium. For any questions about this policy or your data, contact info@cawconsulting.be.
For data you enter yourself about your own clients (name, address, email, VAT number, Peppol ID), you — the Facadso user — are the data controller. Facadso acts as a processor in that case: we only process this data on your instructions, to provide the service (creating and sending quotes/invoices, client management). For data about your own account and use of Facadso (e.g. your email, company details, billing history), Facadso itself is the data controller.
2. What data do we collect?
Account data: email address, password (encrypted, stored by our authentication provider Supabase), chosen language, and role (owner, staff, accountant) within your team.
Company data: company name, officially registered name (if different), address, enterprise number, VAT number, IBAN, logo, contact details.
Client data you enter yourself: name, contact person, email, phone, address, VAT number, Peppol ID, language preference, and notes about your own clients.
Billing data: quotes, invoices, line items, amounts, payment status, reminders, and the PDF documents generated from them.
Expense data: vendor, amount, VAT, and photos or scans of receipts/purchase invoices you upload. These images may be automatically analyzed (see Anthropic, below) to pre-fill data — you always review and confirm this yourself before it's saved.
Payment data (your own clients): if you connect your own Mollie account to Facadso (Mollie Connect), we store an encrypted access token to create payment requests on your behalf. Payments from your clients settle directly with your own Mollie account — Facadso never sees or stores card details.
Payment data (your own Facadso subscription): if you subscribe to Pro or Ultimate, we process a customer, mandate, and subscription ID through our own Mollie account to automatically collect your monthly subscription fee and any Peppol overage, plus your billing history (amount, period, invoice status). Here too, Facadso itself never sees or stores card or bank details — that happens exclusively at Mollie B.V.
E-invoicing data (Peppol): if you enable Peppol e-invoicing, your company details are registered with our partner Recommand to send and receive invoices over the Peppol network.
3. What do we use your data for?
To provide the Facadso service: managing your account, creating and sending quotes/invoices, enabling payments, client management, Peppol e-invoicing, and sending reminders for unpaid invoices.
To communicate with you: confirmation emails, password resets, team invitations, and important account notices.
To keep the service running properly and securely, including detecting misuse.
We never use your data for advertising purposes and never sell it to third parties.
4. Who do we share data with?
We work with a small number of carefully chosen service providers (sub-processors) to make Facadso work:
Supabase (authentication, database, and file storage, hosted in the EU) — Resend (sending transactional emails) — Mollie B.V. (payment processing, both when you connect your own Mollie account to collect payments from your clients, and to collect your own Pro/Ultimate subscription fees through our platform Mollie account) — Recommand (sending and receiving e-invoices over the Peppol network, only if you enable Peppol) — Anthropic (automatic data extraction from expense receipts you upload yourself; only the uploaded image is sent, never your full account).
Anthropic is based outside the EU (United States). We only send the uploaded receipt/invoice for text recognition, and only when you actually use that feature.
We never share data with third parties for their own marketing purposes.
5. Where and how long do we keep data?
Our database and file storage (Supabase) are located in the European Union. We keep your data for as long as you have an active Facadso account, and afterward for as long as legally required for bookkeeping purposes (in Belgium, generally 7 years for billing records) or as needed to resolve disputes.
If you delete your account, we remove your personal data within a reasonable time, except for what we're legally required to retain.
6. Cookies
Facadso only uses functional cookies necessary to make the service work: a session cookie to keep you logged in, and short-lived cookies (max. 10 minutes) while connecting your Mollie account. We don't use advertising or tracking cookies.
7. Your rights
Under the GDPR, you have the right to access, correct, or delete your data, restrict processing, request data portability, and object to certain processing. For data about your own clients that you've entered into Facadso yourself, you can exercise these rights directly within the app (editing or deleting a client, quote, or invoice).

8. Security
We take reasonable technical and organizational measures to protect your data: encrypted storage of sensitive tokens (such as your Mollie connection), encrypted connections (TLS), and role-based access control within your team.
9. Changes to this policy
We may update this privacy policy from time to time, for example when we add new features. The date at the top of this page shows when it was last updated.
